Most practices don't have a data problem. They have a visibility problem.
Every practice already has the data it needs to run beautifully. It's sitting in the practice management software, in appointments, invoices, recall histories, retention curves. But it's buried, scattered, and hardly ever brought together in a way that tells you what to actually do.
That's the gap HealthPulse is built to fill. The engagement is structured to take your existing data and turn it into a small number of clear, evidence-based decisions you can actually act on.
The five steps
Here's exactly what happens, day by day.
A short call to understand fit
We start with a 15-minute introductory call. The goal is simple: understand what's bothering you about your practice, what you're hoping to learn, and whether HealthPulse is genuinely the right fit. If we don't think we can move the needle for you, we'll say so honestly and recommend something else.
Time required from you: 15 minutes.
Account setup and export guide
If we agree to proceed, you'll receive an email within 24 hours with two things: a login to your HealthPulse client portal, and a step-by-step guide for exporting your practice data from your management software (Cliniko, Dentally, ezyVet, Halaxy, and others).
Time required from you: 0 minutes (we're doing the prep on our end).
You upload your reports
Following the guide, you generate the relevant exports from your practice management software and upload them through the HealthPulse client area. The whole process, from logging in to confirming files received, takes about ten minutes.
Importantly: patient names, dates of birth, and clinical notes are never required. We work from operational data only. Appointment outcomes, revenue figures, procedure codes, recall histories. Nothing identifying.

Five business days of focused work
Once your data is received, we begin work. The analysis runs through HealthPulse's proprietary engine, surfacing the patterns that matter, including revenue trends by clinician and procedure, cancellation patterns, chair time utilisation, recall conversion, retention curves, and dozens of other operational indicators.
From there, the human work begins. We sit with the data, identify the patterns that matter most for your practice, and write your Practice Health Review, a written document that names the two or three changes most likely to move your practice forward, ranked by impact.

A 60-minute conversation about findings
On day five, your full Practice Health Review is delivered to your portal. You'll receive an email letting you know it's ready.
Within a few days of delivery, we sit down together for a 60-minute walk-through call. We talk through the findings, answer your questions, and agree the priorities you'd like to focus on. By the end of the call, you have a written report and a clear list of next steps.

What happens after?
The Practice Health Review can be a complete engagement in itself, a clear, evidence-based snapshot with a defined set of priorities. For practices that want hands-on support implementing the changes, we offer a Ninety-Day Practice Sprint or an ongoing Advisory Retainer.

A note on privacy
Patient names, dates of birth, contact details, and clinical notes are never required. HealthPulse is built around the principle that we don't need patient PII to make a great practice review. We work from aggregate operational data only. Anything you share is encrypted in transit, stored on encrypted devices during the analysis, and deleted from our systems within 30 days of your engagement completing.
